Speaking these phrases at the appropriate time and with genuine sincerity can go a long way in making your clients feel heard, understood and valued.   1. “Thank you for reaching out to us.” Be it a call for help, complaint or inquiry, thanking your customers for taking the time and making the effort to get in touch with you is an excellent starting point for any conversation you’re about to have with them. It simply tells them you value them and their business.
  2. “I appreciate you telling me what happened and how you feel about it.” Say this in response to your clients who give a detailed and emotional account of their experience with your product or service. Acknowledging that they have been heard and reminding them that their feelings matter to you calms them down and contributes to a faster resolution.
  3. “I understand how you feel in this situation.” Sometimes, all that customers need is someone to agree with them that their reaction and feelings are valid. This not only calms them down but also makes them more receptive to what you’re about to say next.
  4. I can help you with that.” This succinct response lets your clients know help is on the way, and that they reached the correct person for their concern.
  5. “Thank you for asking that, I’ll get back to you with the correct answer right away.” Use this phrase when you do not know the answer to your client’s inquiry. Instead of inventing an answer, thank them instead for taking the time to ask their question, then quickly search for the answer.
  6. “I’ll get someone who can help you right away.” Use this when someone else is in a better position to assist your client, such as an IT personnel who can best explain the troubleshooting process.
  7. “I would love to help you with that, but I am very sorry to say your request is beyond our capacity at the moment.” Use this when your client makes a request that your business simply cannot accommodate for the time being.
  8. “Is there anything else I can help you with?” Make it a habit of asking your clients if there is anything else you can do for them before ending your conversations. It reminds them you are at their service.
  9. “I’m glad to be of service to you.” Ending your conversation with this line affirms your clients that they are valued, and they are always welcome to come to you for help.
  10. “Thank you for your understanding and continued support.” Use this line to end your correspondence with clients who may have been inconvenienced or dissatisfied by your product or service.
